Prepare documents before receipt
Keep the agreed specification, list of shipping units and photos of the dispatch. Appoint a person who can verify quantities and markings upon receipt. If the order includes multiple suppliers, identify in advance which items are in each shipment. This helps distinguish a missing part from an item sent in a separate batch.
Inspect the external packaging
Before opening, photograph the shipping units from all sides and any readable shipping labels. Note tears, dents, signs of moisture and damaged seals. The procedure for documenting discrepancies and the deadlines for claims should be confirmed with the carrier according to the agreed terms. Photographs alone do not guarantee compensation, but they help document the condition of the cargo at the time of receipt.
Check items and markings
Open packages sequentially and compare each item with the specification: part number, quantity, condition and completeness. Do not mix contents from different boxes until verification is complete. If there is a discrepancy, photograph the part, the marking, the packaging and the corresponding order line. Specify what was expected and what was actually received.
Separate visual inspection from diagnostics
A visual inspection reveals visible damage and missing components, but does not confirm the operational condition of a complex assembly. Arrange testing of electronics, engines or other technically complex parts with a specialized service center. Before installation, confirm the supplier's conditions: disassembling or altering the part yourself may affect the handling of a claim.
Prepare a clear claim
Provide the order number, date of receipt, part number, quantity and a description of the discrepancy. Attach the original specification, shipping and receipt photos and, if available, the service report. State the desired resolution and request the next steps. Keep the packaging and the disputed part until the method of inspection or return has been agreed.
Use the findings for your next purchase
Record discrepancies in a log by supplier, part number and packaging type. If the problem recurs, change requirements for photos, packing completeness or cargo protection.
