Ordering Parts from Dubai: How to Prepare an Accurate Request

One item — one line in the request
For each part create a separate line: vehicle, VIN, name of the assembly, catalog number if available, and quantity. Specify the model year, engine and market of the vehicle. A colloquial name like “block” is not sufficient: a seller may interpret that as a different part. If the VIN is not available, state that explicitly and prepare photos of the markings.
Specify condition and acceptable options
State whether you need a new genuine part, an aftermarket equivalent from a specific manufacturer, or a used one. Do not combine these options into a single vague price. For a removed (used) part specify any damage, signs of repair, completeness and the possibility of inspection. Inspection and return terms should be agreed before payment and kept in the correspondence or order documents.
Check the part number and configuration
A photo of the packaging is helpful but does not replace checking the markings on the part itself. Match the number, connectors, fastenings and kit contents with the request. If a substitute article is offered, ask for confirmation of compatibility for your specific vehicle. For electronic control units, separately discuss the need for programming with the service that will install the part.
Separate the item price and logistics
The calculation should list separately the cost of the part, inspection during agreement, packing, local handling and transportation. Specify the currency, validity period of the offer, pickup point and expenses that are not included. Shipping cost depends on actual packaging, dimensions and route. Until these are confirmed, the preliminary estimate cannot be considered the final amount.
Agree on the shipping procedure
Before handing items to the carrier, photos of the parts, markings and packed units are useful. Reconcile the number of items with the order list. For fragile and heavy parts agree on protection for protruding elements and securing inside the packaging. The presence of liquids, batteries or other special shipping conditions must be reported in advance and the permissibility of shipping confirmed.
